Standard drapery, company identification sign, two complimentary personnel badges per 80 sq. ft. of booth space, company profile in Exhibit Guide, show security and an online exhibitor service manual. Tables and chairs can be purchased for an additional fee through Freeman Exposition Services.
One six-foot draped table, two chairs, and tabletop identification sign with company, organization name and tabletop number. Please note: additional equipment requirements should be ordered in advance through the Freeman Exposition Services Kit.
Application Process: New for ASAM's 51st Annual Conference is the online registration form. Click the "Apply to be an Exhibitor" button above and follow the onscreen instructions filling out details about the exhibiting company, contact information, and selecting the booth number. Once submitted, the application will be reviewed by the ASAM Meetings team for approval/denial. If approved, ASAM will notify the exhibitor and the exhibitor can proceed to pay for booth.
Booth Staff: Each exhibitor/tabletop is provided two (2) registrations for exhibit booth staffing. Registered exhibit staff are welcome to participate in all conference activities. The Pre-Conference Courses include an additional fee. Exhibitors may purchase additional exhibitor badges that will allow access to the exhibit hall only (does not include other conference activities).
ASAM Rules and Regulations & Exhibitor Support Online Application: All information included in ASAM’s Exhibit/Support Rules and Regulations is incorporated by reference into the Exhibit & Support Online Application (the “Application”) and becomes part of the contract between the exhibitor/ sponsor and ASAM. These policies have been developed in the best interests of the exhibitors/supporters as a whole. ASAM Management respectfully asks the full cooperation of all exhibitors and supporters in observing these policies. All points not covered are subject to the decision of ASAM Management. Supporters and exhibitors must meet the requirements outlined in ASAM’s Exhibit and Support Rules and Regulations. Please read the Rules & Regulations carefully! By submitting the online application, the exhibiting organization is acknowledging they will abide by the ASAM Rules & Regulations and are in full agreement.
ASAM General Guidelines: ASAM may defer or reject any application for any lawful reason in its sole discretion. By submitting the online application, your organization agrees to comply with all applicable federal and state laws and regulations, including but not limited to laws, regulations, and policies administered by the Federal Food & Drug Administration and the Substance Abuse and Mental Health Administration. All matters and questions not covered by these regulations are subject to resolution at the discretion of ASAM. These regulations may be amended at any time by ASAM, and all amendments shall be equally binding on all parties upon publication.
Cancellation Policy: A 10% cancellation fee will apply to all cancellations received through Monday, December 2, 2019. A 50% cancellation fee will apply to all cancellations received between December 2 and Monday, February 3, 2020. There will be no refunds on cancellations received after Monday, February 3, 2020. All cancellation requests must be made in writing and sent to: ASAM Meetings Department, 11400 Rockville Pike, Suite 200, Rockville, MD, 20852, or email ASAMsupporters@ASAM.org.
Liability: Neither ASAM nor Marriot International, Inc. will assume liability for loss of merchandise or of monies received, or damage to exhibitor’s property. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury or damage to exhibitors displays, equipment, and other property brought on the premises of the Gaylord Rockies Resort & Convention Center and shall indemnify and hold harmless ASAM, Marriot International, Inc., their agents, servants and employees from any and all such losses, damages, and claims.
Product Description: A description of your products and/ or services to be displayed on the website, conference, app and conference program must be submitted when you complete your online application. Any changes must be submitted by Monday, February 10, 2020 to be included in the information distributed to attendees on-site.
Registration and Payment Deadlines: Online application with full payment for all Registrations, Booths, and Tabletops should be received by Monday, February 10, 2020.
Shipping Information: Shipping of exhibit materials to and from the conference site is at the expense and risk of the exhibitor. Freeman Exhibitor’s Service Kit contains additional shipping instructions.

Exhibitors will receive a link via email to online service information from Freeman Decorating approximately two months prior to the conference. Exhibitors are responsible for additional rental, additional lighting, electrical service, telephone service, display labor, shipping, material handling, audiovisual equipment, and plants.
Attendee List Email Scam Warning: Unfortunately, emails are circulating that offer to sell attendee lists for ASAM’s conferences and events. These emails are sent by scammers who are not affiliated or endorsed by ASAM.
Note: ASAM does not sell its exhibitor or attendee lists and no third-party is authorized to distribute or sell any lists related to our events. Statements claiming to offer our attendee lists are fraudulent. If you receive emails that propose to sell ASAM conference attendee lists, do not engage with the sender and delete the message immediately.

All reservations must be guaranteed by a valid major credit card, which will be supplied at the time of reservation. Any guaranteed reservation not cancelled 72 hours prior to arrival will be subject to one night room and tax cancellation fee. Regardless of how reservations are made, any reservations that fail to arrive on the scheduled arrival date will be considered No-Shows and a charge of one nights room and tax will be posted to the individual Attendee's credit card on file.
