Privacy Policy | Liability/Media Waiver | Code of Conduct |
IASP is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using the IASP website, you can be assured that the organization will use the information in accordance with this privacy statement.
By visiting the site, you acknowledge that you have access to IASP’s Privacy Policy and will read or have read it with the understanding of the provisions of the IASP Website Terms.
The provision of your personal information to us is voluntary. However, without providing us with your personal information, your use of our services or your interaction with us may be impaired. For example, you will be unable to register as a member or register to attend our events.
IASP may modify this Policy from time to time, effective immediately upon posting to the site or such other period as required by applicable law. Your continued access or use of the site constitutes your acceptance of the provisions of the then-current Policy. The current Policy applies to all information gathered or obtained about you at any time.
Data Privacy Policy: Information you provide IASP
You can use some of IASP’s services without giving IASP your personal data. Much of the information on the IASP website is available to visitors who are not IASP members. You can enter only the minimum amount of information (name and contact information) to your IASP profile, and you can edit your profile at any time. For IASP members, additional information is required (details below in the Membership section). Some personal information is necessary so that IASP can supply you with services you have purchased or requested, and can authenticate you so that we know it is you and not someone else. You may manage your IASP subscriptions and you may opt-out of receiving certain communications at any time.
IASP may ask for a password or other information that will allow us to identify a user account or provide a guest with access to their account or certain online services. Because many of our products and services are designed for educational use, some of the personal or contact information we request may be about institutions and schools instead of, or in addition to, information about the guests themselves. We also collect various demographic information such as whether our guests are medical practitioners and, if so, whether they see patients; the research and medical specialties and subspecialties of our guests; and other demographic information. When we use or associate other information with information that could be used to identify or contact a guest specifically, this other information is considered personal information for purposes of this Privacy Policy.
To ensure that users are provided with accurate information about their accounts and that content is geared to the interests of that user, we may ask for personal information when a user registers for, logs on to, or visits our websites or other online services, or participates in activities on our websites.
We may request users’ personal information when they do one or more of the following:
As noted above, our websites and online services also collect some usage information automatically. Please see below for more information.
We sometimes supplement the information that we collect as outlined in this Privacy Policy with information we receive from other sources and entities. Such outside information includes, but is not limited to, updated delivery, billing, and address information and information about products and services used, from carrier, delivery or transportation services or other third parties such as publishers, conference organizers, and others who offer products or services to us and our users.
When you become an IASP member, we collect information about you, including (but not limited to) your name, email address, mailing address, phone number, designation, place of work, primary professional focus, primary basic research area, and primary medical specialty area (if applicable). We may also require proof of status from an individual’s university. Members may edit their profile at any time to change, add, or make private personal information.
We process your personal information for membership services; to deliver member benefits to you; and to inform you of IASP-related events, content, and other benefits or opportunities associated with your IASP membership. IASP may also use this information to help the organization understand its members’ needs and interests in order to provide relevant products and services.
When you apply for a grant, we will collect, process, and store some personal data that relate to and identify you. This information may include, but is not limited to, name, mailing address, email address, job title, employer, educational institution and degrees, professional training and/or certifications, funding sources and amounts, professional specialty, current work projects, project collaborators, professional independence, birth country, current country, letters of recommendation, past awards or honors, membership status, membership level, a curriculum vitae, and any other information collected on an application to the extent necessary to process and review your application and manage any grant, award, fellowship, camp, or school that we offer. We use this information to monitor historical and current trends in funding, countries of successful and applying applicants, numbers of applicants, and diversity among applicants. We also use the data to notify applicants if they did or did not receive any of those awards, grants, fellowships, or camp/school acceptances. Recipients will receive additional communications related to acceptance, announcements, or registration to process and publicize that funding.
IASP offers publications for its members and the general public. IASP may provide a link to another organization’s website (for example, databases) that may contain useful and relevant content. To access this content, you will leave the IASP website. IASP is not responsible or liable for content provided by these third-party websites or personal information they may collect from you.
You may subscribe to some IASP publications without becoming a member. For example, you may sign up to receive the IASP’s PAIN Research Forum e-newsletter or communications related to the consumer website, RELIEF. You may subscribe by providing us with at least your first name and last name, an email address, and the country in which you live. IASP does not share this information with any third party other than to provide you with the e-newsletters and other communications from IASP that it believes may be of interest.
You may manage your IASP subscriptions by subscribing or unsubscribing at any time. Please note that if you have set your browser to block cookies, your ability to unsubscribe may be impacted. If you have any difficulties managing your email or other communication preferences, please contact us at IASPDesk@iasp-pain.org
The IASP sponsors events including in-person conferences, workshops, education courses, webinars, and meetings (collectively “events”). If you register for one of our events and you are a member, IASP uses the information in your member account to provide you with information and services associated with the event. If you are not a member and you register for one of our events, we will collect your name and contact information and use it to provide you with information and services associated with the event.
IASP also collects information from presenters and lecturers at its events, including name, employer, title, specialty, contact information, and a photograph. IASP may also collect voluntarily-provided evaluation information provided by event attendees. In addition, IASP may make and store a recording of the event in certain instances.
IASP may keep a record of an individual’s participation in IASP events as an attendee or presenter, which may be used to provide membership services (such as, for example, to tell you about other events and publications). It may also be used to help IASP understand its members’ needs and interests to better tailor our products and services to meet those needs.
If you want to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events, sign up at any of the sponsor/co-sponsor/exhibitors’ booths/tables at the event, or contact the IASP directly at IASPDesk@iasp-pain.org. By allowing exhibitors and sponsors to scan your badge, you consent to the sharing of your contact information (name, company, title, and email address) with them. If you do not wish for an exhibitor or sponsor to receive this information, do not permit them to scan your badge. To withdraw your consent, you should contact the exhibitor or sponsor.
If you attend a voluntary Symposium sponsored by a third party, your badge may be scanned using RFID as you enter the room and that information will be shared with the organizer of the Symposium. Notice of this scanning and sharing will be given at the entrance to the room. If you do not wish to provide consent for this sharing, do not attend the voluntary Symposium.
If you download our conference app, information will be collected by our third-party vendor. We use Cadmium to produce a mobile app for the annual meeting. The Cadmium privacy policy may be found here.
If an event is sponsored in whole or in part by an entity other than IASP, IASP may provide an attendee list to sponsors, co-sponsors and exhibitors. IASP may also allow sponsors, co-sponsors and/or exhibitors to send you material by mail/e-mail once per sponsored event, in which case the IASP will share your mailing address directly with the sponsor/exhibitor. If you wish to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact IASP directly at IASPDesk@iasp-pain.org.
You may choose to purchase goods or services from IASP using a payment card. Typically, payment card information is provided directly by you, via the IASP website, into the PCI/DSS-compliant payment processing service to which the IASP subscribes, and IASP does not, itself, process or store the card information.
What information you provide IASP:
IASP receives and stores any information you enter on the website, including, but not limited to, the following:
IASP will also obtain credit card information for payments related to membership and events. Our online payment processes are PCI-Compliant to ensure further data security and safety.

Google has additional information available about its Remarketing Privacy Guidelines, Policies, and Restrictions.
IASP requires that, when applicable, third parties engaged by IASP for tracking and remarketing IASP data follow European Union General Data Protection Regulation (GDPR) policies and guidelines to ensure continued privacy. IASP will not sell, rent, or otherwise disclose that information to third parties unless such disclosure is necessary for the purposes set forth in this Policy, by law, or in a policy or notice contained or associated with a specific IASP product or service.
How Does IASP Use Information?
IASP uses the information you provide and IASP collects in order to:
IASP collects and processes individual personal data for the legitimate interests of IASP, including the proper administration of this website, customer service, and promotion of IASP offerings.
Your personal information, however provided to us, will be used for the purposes specified in this Notice. In particular, we may use your personal information for the following:
Lawful bases
Under certain laws, we are required to rely on one or more lawful grounds to collect and use the types of personal information that we have outlined above.
Where this requirement applies to us, we consider the grounds listed below to be relevant:
The GDPR allows us to collect and process your personal information if it is reasonably necessary to achieve our or others’ legitimate interests as long as that processing is fair, balanced, and does not unduly impact your rights.
In broad terms, our “legitimate interests” means the interests of running IASP, representing the study of pain management, and setting and maintaining professional standards.
When we process your personal information to achieve such legitimate interests, we consider and balance any potential impact on you (both positive and negative) and your rights under data protection laws. We will not use your personal information for activities where our interests are overridden by the impact on you; for example, where use would be excessively intrusive (unless, for instance, we are otherwise required or permitted to by law).
Use of our online services
We may make available certain interactive services through our website such as our membership directory and community forums. You will be able to post personal information to the directory and such forums.
Please be aware that any information, including personal information, that you post to the directory and in conference apps or general or specialty forums may become public information and may be available to other IASP members. In addition, your name may be available in association with any posting you make, and information regarding your forum activities may be available for other members to view.
Please exercise caution and discretion when posting information, including personal information, in the directory, app, or forum. In particular, please do not post personal information about other individuals unless you are confident that they would not object to their personal information being used in this way.
Communications for marketing/ promotional purposes
We may use your contact details to provide you with information about our work, events, services, initiatives, and/or products that we consider of likely interest to you (for example, about courses or events you previously attended, actions the IASP has taken on behalf of its members, or career development services).
Certain laws that apply to the IASP (for example, the GDPR in EU Member States) may require us to obtain your consent to provide you with this information via certain channels (for example email, SMS, or telephone). Where such requirements apply to us, we will not send you such information without your prior consent.
Where you have provided us with your consent previously but do not wish to be contacted by us about our products and/or services in the future, please let us know by email at IASPDesk@iasp-pain.org. You can opt out of receiving emails from the IASP at any time by clicking the “unsubscribe” link at the bottom of our emails.

Our products and services are intended for use by those over the age of 18; therefore, we do not intend to process children’s personal information. If you believe we are processing children’s personal information (those under 18 years), please contact us, so we can delete it.
How long do we keep your personal information?
In some jurisdictions, there are limits on how long we may retain your personal information. Where these limits apply, in general, unless still required in connection with the purpose(s) for which it was collected and/or processed, we remove your personal information from our records 5 years after the date it was collected. However, if before that date (i) your personal information is no longer required in connection with such purpose(s), (ii) we are no longer lawfully entitled to process it, or (iii) you validly exercise your right of erasure (please see below), we will remove it from our records at the relevant time.
If you request to receive no further contact from us, we will keep some basic information about you on our suppression list in order to comply with your request and avoid sending you unwanted communications in the future.

Please note that when we disclose or transfer your personal data to third parties to provide limited services on our behalf, such as publishing and/or sending newsletters, operating our meetings, fulfilling and shipping orders that users have placed and completing transactions requested by users, we provide those companies with the information that they need to provide us with the specific task they have been hired to do, we prohibit them from using that information for any other purpose, and we require them to abide by strict information privacy standards. Non-exhaustively, those parties may include the following:
In addition, we reserve the right to disclose your personal information to third parties in the following situations:

Links
The IASP website contains links to other websites. Such links are provided for the convenience of visitors only. IASP has no control over and makes no representations whatsoever regarding such other websites or the products and services offered by or through websites accessed through links on the site, including advertisements, even those with which IASP may have an affiliation. If you decide to access third-party sites linked through the site, you do so at your own risk. You should carefully review the privacy policy and terms of any site you access.
Site of Processing of Personal Data
Personal data of individuals collected by IASP may be stored and processed in the United States, Europe, or any other country in which IASP, its vendors, or partners maintain facilities. IASP may transfer personal data for processing across borders and from your country or jurisdiction to other countries or jurisdictions around the world.
Security
IASP is committed to keeping your personal information safe and secure, and we have appropriate and proportionate security policies, as well as organizational and technical measures, in place to help protect your personal information. The website has reasonable security measures to protect against the loss, misuse, or alteration of information under IASP’s control. While IASP strives to protect your personal information, we cannot ensure and do not warrant the security of any information or data. Communication via the Internet is not failsafe, and there is always a possibility that data may be lost or intercepted by unauthorized parties during transmission or after receipt. You agree that IASP shall have no liability whatsoever in connection with any lost or intercepted data or information.
Your personal information is only accessible by appropriately trained staff, volunteers (such as grant reviewers and working group chairs), and contractors. Data are stored on secure servers with features enacted to prevent unauthorized access.
International Data Transfers
Certain countries have rules relating to the transfer of personal information across borders and requiring us to ensure that personal information remains protected according to appropriate standards (for example, EU Member States under the GDPR).
As an international organization that encourages worldwide membership but is headquartered and administered in the United States, we will occasionally need to transfer your personal information overseas. This may also happen because we use global agencies and/or suppliers to process your personal information on our behalf.
Where required to do so, we will ensure that your personal information is given appropriate protection.
For example, for individuals based in the EU, personal information we collect from you will likely be transferred to and stored in a location outside the European Union such as in the United States. If you are an individual based in the EU, please note that some countries outside of the EU have a lower standard of protection for personal information, including lower security requirements and fewer rights for individuals. Where your personal information is transferred, stored and/or otherwise processed outside the EU in a country that does not offer an equivalent standard of protection to the EU, we will take all reasonable steps necessary to ensure that the recipient implements appropriate safeguards (such as by entering into standard contractual clauses) designed to protect your personal information and to ensure that your personal information is treated securely and in accordance with this Notice. If you have any questions about the transfer of your personal information, please contact us using the details below.
Unfortunately, no transmission of your personal information over the internet can be guaranteed to be 100% secure; however, once we have received your personal information, we will use strict procedures and security features to try to prevent unauthorized access.
Exercising Your Rights
In general, please note that we will honor your requests to exercise your rights to the extent possible and required under applicable law. Certain of these rights may only be available to you if you are located within the EU when you access our website or you otherwise engage with us.
Where we rely on your consent to use your personal information, you have the right to withdraw that consent at any time. This includes the right to ask us to stop using your personal information for marketing purposes or to unsubscribe from our email list at any time. You also have the following rights:
We may ask you for additional information to confirm your identity for security purposes before disclosing personal information requested to you.
