Congratulations on being selected or invited to present at APM's 2016 Annual Meeting. This page contains information about what to expect at the meeting, and what APM’s Annual Meeting Committee is expecting of you.

Handouts

APM does not print session handouts for distribution on-site to attendees. Instead, your presentation or references are uploaded to a password-protected area of the APM 2016 website and attendees download the handouts for the sessions they are planning to attend ahead of time to use as learning aids. You are welcome to provide photocopies of handouts on-site, however, at your own cost.

The submission rules for APM 2016 included a requirement for all speakers/authors to upload copies of presentations materials to the APM website in advance of the meeting in order to provide learning aids to attendees. Your evaluation as a speaker/author will, in part, be based on your compliance with this commitment.

Requirements and deadlines

In brief, for each type of presenter the various requirements and requests are:


PRE-CONFERENCE COURSE SPEAKERS

You are required to submit to the APM executive office a copy of your presentation for early review by the Pre-Conference Courses Subcommittee by September 19.

Thereafter, once you have added the mandatory disclosure slide to your presentation, you must upload your PowerPoint slides and other reference materials/handouts by November 1.

On-site: you must bring your slides with you on a portable USB flash drive. You may only use the laptop in the meeting room; you may not use your own computer. All pre-conference courses will be recorded and the laptop we provide will be equipped with special recording software.

PLENARY & AWARD SPEAKERS

After adding the mandatory disclosure slide to your presentation, please plan to upload your PowerPoint slides and other reference materials/handouts by November 1.

On-site: you must bring your slides with you on a portable USB flash drive. You may only use the laptop in the meeting room; you may not use your own computer. All pre-conference courses will be recorded and the laptop we provide will be equipped with special recording software.

POSTER PRESENTERS

Posters are displayed only on Thursday November 10.

If you wish for your poster to be included in judging for the best poster awards, your final poster must be uploaded to APM’s online ePosters gallery no later than October 16. Posters uploaded after October 16 will not be included in competition. Instructions on how to upload your poster will be provided in September.

If you are not entering your poster into competition, plan to upload it in PDF format to APM’s ePosters section by November 1.

On-site: All posters will be displayed in the Griffin Hall of the JW Marriott on Thursday, November 10 from 5:15–7:45 PM. There will be a printout of all of the poster board assignments on-site.

You may mount your poster on Thursday, November 10 from 12:00 to 3:30 PM. Poster boards will be 8 feet wide and 4 feet tall; pins will be provided. All posters must be ready for presentation no later than 5:30 PM for viewing.

Disclosure statement forms will be mounted on each poster board. All poster presenters are required to complete the form even if there is nothing to disclose. The completed form must be mounted on the top left corner of the poster board. A member of the Standards & Ethics Subcommittee will be present to ensure that all presenters are in compliance.

You are required to be present at your poster from 5:15 to 7:45 PM during the official poster viewing session that awards CME credit. You will have the opportunity to mingle with your peers at the Welcome Reception at the conclusion of the poster session.

Posters must remain on the boards until 7:45 PM; only thereafter may you remove it. If your poster has not been removed by 9:00 PM, it will be discarded, except those posters that were selected as winners by the Oral Papers & Posters Subcommittee. Poster winners are announced at the Friday morning plenary session.

DISCLOSURE REQUIREMENTS

ALL speakers, authors, moderators, and discussants participating in CME activities are required to state whether any commercial or financial relationships might directly or indirectly relate to the subject of each presentation. Whether or not such a relationship exists, speakers, authors, moderators, and discussants are required to make this statement in writing before their presentation, as well as announcing it at the time of their presentation.

Disclosure BEFORE the meeting

All scientific sessions listed in the program have complied with the in-writing, pre-meeting disclosure requirement. However, if there has been, is, or will be any additional personnel involved in your presentation, we MUST have their disclosure statement in order for your presentation to qualify for CME credit. Please notify the APM executive office as soon as possible if you wish to add additional speakers to your presentation so we may arrange for disclosure reporting.

Disclosure DURING your presentation

The second slide of your presentation, immediately following your title slide, MUST be a disclaimer about any conflict of interest. If you are giving multiple presentations, the slide must be included in each. The disclosure reporting can be accomplished on a single slide.

An APM disclosure reporting template can be downloaded from here to help you meet this requirement. The template provides sample text for nothing to disclose, and for when there is something to disclose. If you do not show one of these slides, either a member of the Standards & Ethics Subcommittee or your session moderator will interrupt your presentation to be sure you verbally disclose your status. Please help us avoid this!
